Receptionist/Telephone Operator (OPS/TO 2)
Job Purpose
Under the direct supervision of the Manager, Administration & Office Services Section, the Receptionist/Telephone Operator is responsible for operating a multi-line telephone switchboard and maintaining records of all long distance calls made, greeting customers/visitors, answering questions, announcing calls or providing directions as is necessary.
Key Responsibilities
Operates the switchboard to make or receive calls.
Receives and directs incoming calls to appropriate officers/office or records and relays messages to officers without delay.
Makes outgoing calls as requested and connects the party called to the relevant officers.
Keeps a log of personal long-distance calls made by staff and reconciles with telephone bills to ensure payment by relevant officers.
Greets and screens visitors and provide them with routine information about the Public Procurement Commission (PPC) or direct them to the relevant officers or office.
Records particulars relating to payments of all charges in the register for personal calls.
Trains relief operators.
Required Knowledge, Skills and Competencies
Knowledge of the Commission’s policies and procedures
Knowledge of the Public Procurement’s laws and Regulations
Good interpersonal skills and customer relations
Good communication skills
Good time management skills
Good Typewriting/Keyboard skills
Excellent Switch Board Operating skills
Minimum Required Qualifications and Experiences
Four (4) CXC/CSEC or GCE O’ Level (or equivalent) including English Language and Mathematics.
Certificate in Telephone Operating Techniques from a recognized institution.
