The National Land Agency invites applications from suitably qualified candidates to fill the following vacant position within the Estate Management Division:
Senior Scanning Officer
The successful candidate will report to the Supervisor, Scanning and Records
Job Purpose
To ensure that all documents received are scanned and that their safety is preserved
Key Responsibility Areas
Management/Administrative Responsibilities
Assists with quality checks on all scanned images (documents)
Performs quality control checks of scanned files to ensure adherence to established standards.
Assists in the maintenance and updating of all electronic files with internal, incoming and outgoing correspondence.
Assists in the maintenance of a proper Registry Log Inventory with all registry files being dispatched and returned by users.
Assists with proper accountability of files by undertaking electronic check-in of all Registry files being returned by users.
Assists with monitoring attendance and punctuality of Scanning Officers.
Provides support to Estate Management and Corporate Legal Services staff in researching applications/correspondence for divestment
Technical Responsibilities
Facilitates the creation of new electronic registry files, connecting, disconnecting electronic registry files and the opening and closing of electronic registry file volumes.
Provides weekly Index and Scan Reports on staff productivity.
Other Responsibilities
Performs other related duties assigned from time to time by the Supervisor
Required Competencies
The post-holder will be able to demonstrate:
Knowledge of records management
Good interpersonal skills
Good oral and written communication skills
Competence in the use of relevant computer software
Ability to work under pressure
Minimum Required Qualifications and Experience
Certificate in Public Administration or Business Administration or Records Management
Two years’ related working experience
